Purpose:

This policy establishes guidelines to insure solicitations of individuals, corporations and foundations are conducted to best benefit the College and the donor.

Policy:

The OU-COM Office for Development coordinates all private sector fundraising activity and manages all private sector major gift fundraising activities at the College including: strategy setting, plan development, development communications, prospect identification, qualification, solicitation, volunteer recruitment, faculty training, gift processing, reporting, and acknowledgement/stewardship systems.  The College Development program is conducted in partnership with the Ohio University Division of Advancement.

Procedures:

The OU-COM Office for Development follows all Ohio University Advancement policies and procedures as stated in Ohio University Advancement Policy and Procedure No. 09.001, which include:

  1. Follow traditional Prospect Management procedures to prevent simultaneous or conflicting solicitations to the same potential donor.

  2. The OU-COM Assistant Dean for Development serves as key liaison with OU Foundation and advises the Dean on development related activities.

  3. Gift Processing – Gifts to the College can be accepted through the Office of Development or directly to the Ohio Foundation.  Gift checks should be made payable to:  The Ohio University Foundation.  Designated gifts should be identified by name or number on the check memo or with an attached memorandum.  Initiating new Foundation accounts is the responsibility of the Office for Development.

  4. Fund and facility donor-naming opportunities will meet current OU guidelines.

  5. Stewardship process – Appropriate acknowledgement correspondence and donor recognition opportunities i.e.: The 1823 Founders Society, publications, and Trustees Academy are available for donor recognition.  An annual stewardship report is distributed annually to all major donors thought the Ohio University Office of Stewardship with interim updates requested through the OU-COM Office for Development.
