PURPOSE

Clinical/non-clinical group I or II faculty (assistant, associate, or full professor) may be provided position support funds each fiscal year dependent on available funds.  These funds are to be used for expenses that advance the faculty member’s ability to do his/her work for the College.  Those individuals with appointments in more than one unit/department will have support funds budgeted in only one of the unit/departments.  (This policy does not pertain to an individual whose position is classified as an administrator and received a faculty appointment.)

 

USE OF SUPPORT FUNDS

Use of position support funds are tracked by the department’s budget support staff and expenditures must comply with all University and OU-HCOM policy and procedures.  Support funds cannot be used towards salary or benefits for the faculty member.  Examples of appropriate usage of position support funds are:

1.      Mandatory dues, such as membership fees in organizations deemed necessary by the College (e.g. AOA and OOA dues for clinical faculty)

2.    Hospital privilege fees (clinical faculty)

3.    Ohio and DEA licensures and renewals (clinical faculty)

4.    CME requirements to maintain licensure (clinical faculty)

5.    Board certification requirements (clinical faculty)

6.    Membership fees in specialty organizations

7.    CME registration(s) and/or travel expenses, within allowable limits

8.    Journal subscription

9.    Medical texts

10. Palm Pilots, PDA’s, etc. (no cell phones)

11. Other

If the individual is uncertain as to the appropriateness of usage of position support funds, he/she should check with the department chair or budget support staff.  All tangible items remain the property of the College.

 

ALLOCATION OF SUPPORT FUNDS

The amount of position support funds allocated to faculty is dependent on several factors such as type of faculty (clinical or non-clinical), whether clinically active, FTE, early retiree, etc. as described below.  The amount is reviewed and determined by the Dean annually.  The Dean may approve exceptions to the policy.

 

For DO faculty that are required to have membership to the AOA and OOA (see criteria below), these dues will be paid from a central support fund and are not included in the individual support fund allocation.

  

A.   Position support for clinical faculty who are clinically active

Base support fund allocation amount for full time clinical faculty who are clinically active is $1,800.  Of this total, $600 is earmarked for dues and fees related specifically to clinical faculty.

Bases for Position Support Fund Allocations:

Group I, Full-Time

a)    FTE = 1.00

b)    Position support = $1800

c)    AOA and OOA membership dues are required for D.O. faculty

d)    No membership dues are required for non-D.O. clinical faculty

 

Group I, Part-Time

a)    FTE =<1.00

Pro-rated position support as the percentage of FTE, with $1,800 as the 100% base.  Example: 0.75 FTE = $1,350 position support.

b)    AOA and OOA membership dues are required for D.O. faculty

c)    No membership dues are required for non-D.O.s or clinical faculty with FTE <0.50

 

Group II, Full-Time

a)    FTE = 0.90 (equivalent to 1.0 FTE)

b)    Position support = $1,800

c)    AOA and OOA membership dues are required for D.O. Faculty

d)    No membership dues are required for non-D.O. clinical faculty

 

Group II, Part-Time

a)    FTE = <0.90

b)    Pro-rated position support as the percentage of FTE, with $1,800 as the 100% base.  Example: 0.60 FTE = $1,080 position support

c)    AOA and OOA membership dues are required only for D.O. faculty having 0.75 FTE or greater

d)    No membership dues are required for non-D.O. clinical faculty

 

Early Retirement appointment

a)    FTE = 0.250

b)    On-Quarter (25%) position support as the percentage of 100%-base allocation.  Example: 0.250 FTE = $450 position start

c)    Funds may be used at any time during the fiscal year, not exclusively during the committed academic quarter.

d)    No membership dues are required

 

        B. Position support for non-clinical faculty or clinical faculty who are not clinically active.

Base support fund allocation amount for full time non-clinical faculty or clinical faculty who are not clinically active is $1200.

 

Bases for Position Support Fund Allocations:

 

Group I or II, Full-Time

a)    FTE = 1.00

b)    Position support = $1,200

 

Group I or II, Part-Time

a)    FTE = <1.00

b)    Pro-rated position support as the percentage of FTE, with $1,200 as the 100% base.  Example: 0.60 FTE = $720 position support

 

Early Retirement appointment

a)    FTE = 0.250

b)    One-quarter (25%) position support as the percentage of 100%-base allocation.  Example: 0.250 FTE = $300 position support

c)    Funds may be used at any time during the fiscal year, not exclusively during the committed academic quarter.

 

NOTE: At the discretion of the Dean, unused position support funds at the end of a fiscal year may be transferred into the department’s general support fund at the beginning of the following fiscal year.  The department’s general support fund is for use by the department at the discretion of the department chair.
