OU-COM Video Conferencing Procedures

The Ohio University College of Osteopathic Medicine (OU-COM) applies Ohio University policies to all of its networks and systems.

  

Videoconferences involve limited resources and various levels of technical support.  Users requiring videoconference systems for meetings or instruction are encouraged to make tentative requests at the inception of a proposed date and time, or as soon as feasible to insure video network service availability.  Resources, including video conferencing systems, room availability and support staff, are often reserved weeks or months in advance. 

 

·      Advance planning is essential for video meetings and instruction. Video distance learning is by nature different than lecturing in a classroom. Materials prepared for projection may not be suitable for video. Users are strongly encouraged to submit any visuals to the distance learning staff for review and modification to insure success.

·      Scheduling is provided on a first request, first served basis.

·      Call or email tentative requests with any detail as soon as possible to the distance learning staff.

·      Specifics of what is required, when and where the event is to be held and what other sites are involved must be provided for basic videoconferences at least 24 hours in advance. More complex distance learning endeavors regularly require specific resource and support coordination no less than 48 hours before an event.

·      Technical support provided is subject to the following priorities:

o    No conflict, first request, first served;

o    Current events have priority over future events;

o    Academic requests have priority over Administrative requests;

o    College priorities may override all other requests.
