RESIDENCY APPLICATION using the ELECTRONIC RESIDENCY APPLICATION SERVICE (ERAS)

What is ERAS?  The Association of American Medical Colleges developed ERAS as a service for applicants to transmit osteopathic and allopathic residency program applications and supporting credentials from medical schools to residency program directors using the Internet. 

There is no connection or communication between medical schools and residency programs via ERAS!  ERAS does not "process" applications, it simply directs them to the intended destinations, designated by you on your Common Application Form (CAF).  The residency programs connect to the ERAS PostOffice and download applications using their Program Director's Workstation (PDWS), and can review, sort, and print applications.

Follow these steps to ensure that all components of your ERAS application have been completed in a timely manner:
 
  • Contact postgraduate programs to confirm what application materials they require.  Do they use ERAS?  What are their deadlines?  How many letters of recommendation do they require?

  • If you haven't done so already, send OU-COM Student Affairs a recent curriculum vitae (CV) to assist in the completion of your Dean's letter of recommendation.  If you need formatting and information tips to complete your CV, you can review our CV workshop presentation.  You can also review our CV sample and Personal Statement sample for some starters.

  • E-mail your new CV as a Word document attachment to Molly deLaval.

  • Ask your preceptors to forward recommendation letters to the Student Affairs Office early!  Accompany your request to the preceptor with a stamped, addressed envelope to:  OU-COM, Office of Student Affairs, 014 Grosvenor, Athens, OH  45701.  Make copies of the ERAS coversheet, indicating that you have waived or not waived your rights to see the preceptor's letter.  Unless we have documentation that states otherwise, we have to assume that you have waived your rights to see any letters of recommendation. 
  • Check your grades at the Ohio University Registrar web site.  You'll need your Oak ID and password and will be able to view your grades by quarter online. If you feel there are any discrepancies, please contact Pat Burnett. Do this in plenty of time to ensure your OU-COM transcript is correct and ready to upload into ERAS.
  • Order a copy of your OU-COM transcript from the Ohio University Registrar and have it mailed to the Office of Student Affairs for your ERAS application.
  • Osteopathic Match:  Register for the AOA match.  You must complete match registration in October (exact date TBA), 2009.  You will need your AOA ID--if you do not know this ID number, contact us.
  • Allopathic Match:  Register with NRMP.  You must register in November (exact date TBA), 2009.
  • We will use your OU-COM ID photo for your ERAS application unless you prefer to send a suitable 2.5"x3.5" electronic photograph of yourself against a light background for your ERAS application.

In order to initially access ERAS, you must return your completed Student Affairs Token Application for the 2010 Match Registration to us.  Upon receipt of this signed application, we will issue your ERAS electronic token ID via e-mail.

You must register with ERAS (free) so we may begin to scan documents we have received in our office for your application.  No charges are incurred at this point in the ERAS process.  
   
   
   
   
   
I've registered with ERAS. Do I need to register for anything else? Back to FAQ     Back to Top
Absolutely.  You must register through the AOA and/or the NRMP to participate in either the osteopathic or allopathic match.  ERAS is the process that both organizations use for the application process.  They have each implemented the Electronic Residency Application Service (ERAS) for students to use to apply to programs.  ERAS is a separate and distinct service from the Match.  
   
   
   
   
   
Is my ERAS electronic token number the same as my AAMC ID number? Back to FAQ     Back to Top
No.  Your ERAS electronic token is your "key" to initially access ERAS.  Your AAMC ID number will be assigned to you when you register for ERAS.

Your AAMC ID number will be assigned to you when you register with ERAS.  Write down this number, because you will need it to access MyERAS 2010 and the Applicant Documents Tracking System (ADTS).  
   
   
   
   
   
How do I order my transcript? Back to FAQ     Back to Top
The Office of Student Affairs CANNOT process transcript requests.  You must order it here from the University Registrar.  We strongly recommend you check your grades online at the Registrar's website first to review for accuracy before you order one to be included with your ERAS application.  
   
   
   
   
   
Do I need to order my undergraduate transcript for use in my ERAS application? Back to FAQ     Back to Top
No.  We only need your medical school transcript.  If you also attended Ohio University as an undergraduate, you will be able to designate that the Registrar's office process only the medical school transcript when you order it.  You can order it here.  
   
   
   
   
   
Do I need to send my personal statement to the Office of Student Affairs? Back to FAQ     Back to Top
No.  You will upload this directly to your online ERAS application.  We strongly recommend creating your personal statement in a word processing program like Microsoft Word so you can spell-check for errors, then you will need to save as a "Rich" text for your ERAS application.

No, it is not necessary to resubmit a letter of recommendation with a coversheet.

Unless we have specific documentation from your preceptor that you have NOT waived rights to see your letter of recommendation, we are required to keep that information confidential.   
   
   
   
   
   
To whom should my preceptor address my letter of recommendation? Back to FAQ     Back to Top
Your preceptor should address your letter "Dear Program Director".  It should be fairly general if applying to different specialties, because this letter will be seen by all programs that you designate.  
   
   
   
   
   
When I apply and pay my ERAS fees by submitting my ERAS application, will all the materials be sent immediately? Back to FAQ     Back to Top
Most will be sent immediately, but NOT your letters of recommendation.  The Office of Student Affairs is notified via ERAS when you apply so we can attach your letters of recommendation to your application to release them.  
   
   
   
   
   
When will my selected programs receive my application? Back to FAQ     Back to Top
For students applying to osteopathic programs, we can begin uploading your documents in July.  You will also be able to apply to osteopathic programs in July. 

For students applying to allopathic programs, we can begin uploading your documents in July.  You will be able to apply to allopathic programs and these programs will be able to download your application documents beginning in September. 

 
   
   
   
   
   
When will my designated programs have access to my Dean's letter of recommendation? Back to FAQ     Back to Top
If you are applying to osteopathic programs, the ERAS release date is typically mid-October for ALL Dean's Letters.  (Exact date TBA.)

If you are applying to allopathic programs, the ERAS release date is typically around November 1 for ALL Dean's Letters.  (Exact date TBA.)

There are no exceptions.  Because this release date is ERAS policy, Dean's letters will not be available prior to these dates. 

 
   
   
   
   
   
How will I know what documents have been added by Student Affairs staff to my ERAS application? Back to FAQ     Back to Top
You will be able to track your application/documents through the Applicant Document Tracking System (ADTS).  It lists each program to which you have applied, the dates the documents were uploaded by us, and the dates the programs downloaded each document.  Our office also has access to the ADTS.  Residency programs cannot access ADTS.

According to NMS, you are obligated to the DO match only if you are matched.  If not, you are free to participate in the MD match or to scramble for a DO spot.  
   
   
   
   
   
Can I see my Dean’s letter of recommendation before it gets uploaded to ERAS? Back to FAQ     Back to Top
Yes.  The Dean’s letter process is a labor-intensive procedure that takes time in order to draft, edit and proofread approximately 150 letters.  As letters are finalized they will be e-mailed to your Oak account.  We will be happy to correct any spelling or grammatical errors, or any misinterpretations from your CV.  However, the basic letter template is standard and we do not make “stylistic” changes.  It is important to note that if you delay in returning any revisions back to us, this additional step may postpone uploading your letter to ERAS.

Is there a deadline to get application materials (letters of recommendation, transcripts, and photos) to the Student Affairs Office for ERAS upload? Back to FAQ     Back to Top
If you don't want to use your OU-COM ID photo for ERAS, we must receive your documents and photo (if you choose to use your own) no later than Friday, August 28After that point, we will have to assume that you wish to use your OU-COM ID photo, and it will be scanned into ERAS for your application.  From now until November, our office will be incredibly busy uploading everyone’s documents on a daily basis.

We have literally two or three thousand—pages of documents to be scanned for ERAS and this is a time consuming process.  In order to make release deadlines, we will be working extremely hard the entire month of September to scan and upload these documents to ERAS.
