  • Get a calendar ready for all of your upcoming residency. application/match/registration deadlines. There are many deadlines, access codes, IDs and details associated with applying for your residency including the deadlines set by each of the programs where you are applying.

  • Be prepared for what is due when and where.

  • Here are some items to make things a little easier for you:

  • Review OU-HCOM's Careers in Medicine site: http://www.oucom.ohiou.edu/CiM/index.htm; a four-phase career development program designed to assist OU-HCOM students with specialty selection and provide guidance with selection and application to a residency program.

  • Contact postgraduate programs to confirm what application materials they require.

  • Do they use ERAS? 

  • What are the programs' deadlines? 

  • How many letters of recommendation do they require?

 
  • Become familiar with the frequently used ERAS acronyms.
 
  • If you haven't done so already, e-mail your new CV as a Word document to Molly deLaval to assist in drafting your MSPE. If you need formatting and information tips to complete your CV, you can review our CV workshop presentation and CV sample for some assistance.

 
 
  • Ask your preceptors to forward letters of recommendations (LORs) to the Student Affairs Office as soon as possible.

  • Accompany your request with a stamped, addressed envelope to:  OU-HCOM, Office of Student Affairs, 018 Grosvenor, Athens, OH  45701.

  • Make copies of the ERAS coversheet indicating that you have waived or not waived your rights to see the preceptor's letter. Unless we have documentation that states otherwise, we have to assume that you have waived your rights to see any letters of recommendation.

  • When applying, you will only be able to submit 4 LoRs to any given program. Once a program has received 4 LoRs, you will not be able to assign another LoR to that program.

  • ERAS has enhanced the LoR page to help make the process clearer and more precise for applicants.

  • Check your grades through your MY Grades portal to ensure there are no discrepancies. You'll need your Oak ID and password to view your grades by terms online.

  • Contact Pat Burnett if any of your grades are not what they should be. Do this in plenty of time to ensure your OU-HCOM transcript is correct and ready to upload into ERAS.

 
  • ORDER your OU-HCOM transcript from the Ohio University Registrar

  • Request that it be mailed to the Office of Student Affairs (018 Grosvenor Hall).

In order to initially access ERAS, you must return your completed Student Affairs Token Application to us. Upon receipt of this signed application, we will issue your ERAS electronic token ID via e-mail. You can now register with ERAS.

No. Your ERAS electronic token is your "key" to initially access ERAS. Your AAMC ID number will be assigned to you when you register for ERAS.

Your AAMC ID number will be assigned to you when you register with ERAS. Write down this number, because you will need it to access MyERAS 2013 and the Applicant Documents Tracking System (ADTS).

The following documents complete your application:

  1. ERAS Application

  2. Medical school transcript (uploaded by Student Affairs)

  3. MSPE (uploaded by Student Affairs)

  4. Letters of Recommendation (uploaded by Student Affairs)

  5. Photograph (uploaded by Student Affairs)

  6. COMLEX and/or USMLE scores (transmitted from testing center)

  7. Personal Statement (uploaded by you)

DO NOT WAIT UNTIL YOUR APPLICATION FILE IS COMPLETE BEFORE APPLYING FOR PROGRAMS. DELAYS CAN OCCUR IN ORDERING AND REQUESTING YOUR DOCUMENTS (transcripts/LORs). It is important that your application is submitted in a timely manner. See the application deadlines for those programs where you have applied.

 
   
   
   
   

What are the deadlines to get application documents to Office of Student Affairs for ERAS upload?

From now until November, our office will be incredibly busy uploading everyone’s documents on a daily basis.

 

We have literally two or three thousand—pages of documents to be scanned for ERAS and this is a time consuming process. In order to make release deadlines, we will be working diligently the entire month of September scanning and uploading each document to ERAS.

 

Please contact Holly Jacobs if meeting these dates present a problem for you.

You will be able to track your application/documents through the Applicant Document Tracking System (ADTS). It lists each program to which you have applied, the dates the documents were uploaded by us, and the dates the programs downloaded each document.  
   
   
   
   
   

How do I order my transcript?

You must order your official medical transcript from the Ohio University Registrar.

 

During the end of spring/summer term:

Ensure your grades are accurate and that your transcript does not include any Incompletes (I) or missing grades prior to ordering an official transcript.

No. Documents are transmitted daily as they are received and uploaded (by the Office of Student Affairs) and downloaded daily (by the Program Directors). Both offices "transmit" daily and numerous times a day during the peak application review season.  
   
   
   
   
What kind of ERAS fees can I expect? Back to FAQ     Back to Top

Fees are based on the number of programs applied to under the same specialty and accrediting body (ACGME or AOA). Those applicants applying to both ACGME-accredited and AOA-accredited programs are charged processing fees separately. See Example 4.

Note: Military program, regardless of specialty, are treated as a single specialty.

Example 1  30 Emergency Medicine programs [$85 + (10 x $8) + (10 x $15)] = $315
Example 2  20 OB/GYN programs [$85 + ($8 x 10)] + 10 Family Medicine programs [$85] = $250
Example 3  5 military Family Medicine programs, 3 military Internal Medicine programs, and 2 military Surgery programs [$85] + 7 civilian Pediatrics programs [$85] = $170
Example 4  3 ACGME accredited Family Medicine programs [$85] + 3 AOA accredited Family Medicine programs [$85] = $170


Other Fees

COMLEX Transcript Fee
Osteopathic applicants may request an unlimited number of COMLEX transcripts to be sent via ERAS for $70. Transcript fees are included on your invoice and collected by ERAS.

 

USMLE Transcript Fees
The NBME fee for transmitting USMLE/NBME transcripts for applicants to programs is $70, regardless of the number of transcripts requested. The NBME fee is included on your invoice and collected by ERAS.

According to NMS, you are obligated to the DO match if you are matched. If not, you are free to participate in the MD match or to scramble for a DO spot.
