| OU-HCOM students
are assigned e-mail accounts by the University
Computer Services. These e-mail accounts are part of
the University OAK system. The university utilizes
e-mail to send grade reports and as a primary means
to communicate with student. As a student of OU-HCOM,
reading your Oak e-mail is YOUR responsibility.
Critical information concerning course requirements,
grading, scheduling and testing are often
communicated via e-mail and through the student mail
box system. It is every student's
responsibility to check his/her e-mail and mailbox
regularly. Students are held responsible for
obligations communicated via these systems. You can

Computer and Network Use Policy |
| |
|
Ohio
University Policy 91.003 (Computer and Network
Policies), 42.550 (Solicitation Policy), and 42.001
(University Mail Service Policy) govern the use of
computing resources, solicitations, and other
information dissemination. The Ohio University
Heritage College of Osteopathic Medicine (OU-HCOM) maintains
electronic-mail access for employees to conduct the
business of OU-HCOM. This statement sets forth the
policies by which all students, faculty, and staff
are governed when using the OU-HCOM e-mail system:
Users of the OU-HCOM e-mail system are responsible for meeting the requirements of these policies when creating, sending, forwarding, or saving e-mail. Users who violate these policies are subject to disciplinary action. The Associate Dean of Information and Planning at OU-HCOM is responsible for establishing, updating, and monitoring adherence to the e-mail policy at OU-HCOM.
- E-mail created, sent, forwarded, received, or saved on the OU-HCOM e-mail system is the property of OU-HCOM and is not considered the private communications of any user. OU-HCOM has the right to view and monitor all e-mail created, sent, forwarded, received, or saved on the OU-HCOM e-mail system. All e-mail on the OU-HCOM system is subject to retrieval and disclosure at any time for litigation recovery, Freedom of Information Act requests, and law enforcement or other regulatory investigations.
- E-mail has the potential to be retained indefinitely, either on an individual's computer or on a shared network server, archived electronic media, or printed record. E-mail can be misdirected or forwarded without the originator's consent. No e-mail system or network should be considered completely secure. Individual academic departments and administrative offices should define guidelines for communications concerning e-mail and approved by the department chairperson, associate dean, or directly with the dean's office. Users are responsible for following policies and procedures pertaining to confidential, classified, or privileged information including student transcripts or patient records, consistent with college, university, and State of Ohio policies.
- E-mail may be subject to Ohio University Policy 01-050 (Records Management and Archival Retention).
- Forwarded e-mail, originating from a source other than the sender, may not be altered without the alterations being clearly identified or explained.
- E-mail users are responsible for keeping their passwords secure. Users will be responsible for any e-mail sent under their username. To protect password security, users should log off when their computers are unattended and should change their passwords every six months.
- Users of the OU-HCOM e-mail system will demonstrate respect for intellectual property, truth in communication, ownership of data, system security mechanisms, and individuals' rights to privacy and freedom from intimidation, harassment, and unwarranted annoyance. The OU-HCOM e-mail system may not be used to send or forward information on the following: commercial activities, religious causes, commercial solicitations, partisan political activity, transmitting or accessing copyrighted information in a manner that violates the copyright.
- Particular care should be taken with respect to the use of the system-provided distribution lists, especially the All OU-HCOM Exchange distribution list. This distribution should only be used when the information included in the e-mail relates directly to all students, faculty, and staff of the College.
- E-mail may be used for incidental personal use that does not violate these policies and does not hamper or conflict with the transaction of OU-HCOM business. Individual "for sale" ads and other general-interest announcements should be posted in the "All Public Folders" rather than e-mailed to the All OU-HCOM Exchange distribution list.
